Maintenance¶
Maintenance tracks preventive maintenance plans for your assets — serviced on a calendar schedule, a running-hours schedule, or whichever comes first — and keeps an overdue-first view so nothing quietly slips.
Navigate to Asset Management → Maintenance for the fleet-wide list, or an asset's own detail page (under Asset Registry) to manage its plans directly.
Looking for Inspections?
Inspections is a sibling feature for recurring, checklist-driven rounds (walkdowns, safety checks) that raise their own findings register — same overdue tracking and escalation as Maintenance, but the checklist is required and there's no Work Order in the loop.
Fleet-wide Maintenance page¶
A summary strip shows Active Plans, Overdue, and On Track counts across your whole fleet. A List / Calendar toggle at the top switches between two views:
- List (default) — every active plan, overdue-first, showing the plan name, its asset, its interval, when it's next due, its status, and whether it escalates. Click an asset's name to jump to its detail page.
- Calendar — a month grid. See Calendar view below.
Adding a plan¶
On an asset's detail page, in the Maintenance Plans card:
- Click Add Plan.
- Enter a Name (e.g. "Bearing Lubrication").
- Choose an Interval Basis:
- Calendar days — due again N days after it was last performed
- Run hours — due again after N hours of machine run time since it was last performed
- Both (whichever first) — due as soon as either threshold is crossed
- Enter the interval value(s) for the basis you chose.
- Optionally choose an Escalation Matrix — if set, this plan actively notifies people by email/Telegram once it goes overdue, following the matrix's levels (see Escalation Matrix). If left as None, the plan is still tracked and shown as overdue on the Maintenance pages, but nobody is actively notified.
- Optionally choose a Checklist — an existing, already-configured checklist (with its own Maker/Checker/Approver team) to use as the guided procedure for this plan. Leave as None if the plan doesn't need a step-by-step procedure.
- Click Save Plan.
Each plan's row shows its escalation status — the matrix name if one is attached, or "Visible only" if not — and its linked checklist, if one is set.
Guided procedure via Checklist¶
If a plan has a Checklist attached, raising a Work Order from that plan (see Creating a Work Order for a plan below) automatically attaches a fresh copy of that checklist to the Work Order as a Job Card — the technician opens the Work Order and the procedure is already there, ready to fill in. This reuses the same configured checklist (and its Maker/Checker/Approver assignments) every time the plan comes due, rather than creating a new one-off checklist each time.
Engineer access required
Adding, logging, and deleting maintenance plans requires engineer access.
Logging completed maintenance¶
When the work is done, click Log Performed on the plan's row. This records the current date and the asset's current run hours as the plan's last-performed point, and the countdown to its next due date/run-hours restarts from there. A short Recent maintenance history list below the plan table shows the last few logged entries.
Creating a Work Order for a plan¶
If maintenance work needs to be scheduled and tracked rather than logged immediately, click Create Work Order on the plan's row instead of Log Performed. This opens a Maintenance Work Order linked to the plan and its asset, which you can assign to a line/machine, schedule, and route through a checklist like any other Work Order. Once that Work Order is marked Completed, the maintenance is logged automatically — you don't need to also click Log Performed.
A plan can only have one open Work Order at a time — once one exists, the row shows View Work Order instead, linking straight to it. The fleet-wide Maintenance page's list view shows a Work Order column with the same link.
Reporting an unplanned issue¶
Not every maintenance need comes from a scheduled plan. If something breaks or needs attention right now, click Report an Issue at the top of the asset's detail page (next to the Active Alarms card). Fill in:

This creates a Work Order for the asset immediately, without needing an existing plan — useful for breakdowns, one-off repairs, or anything that can't wait for the next scheduled visit. It shows up on the Work Orders page like any other Work Order, and its Priority is visible there for triage.
Overdue status¶
A plan is marked Overdue as soon as it passes its next-due date and/or run-hours (depending on its interval basis) without being logged. This is always shown live — both on the asset's own page and the fleet-wide Maintenance page, which sorts overdue plans to the top.
Overdue maintenance also appears in the notification bell and the Machine Issues dashboard alongside trigger and VFD alerts, and — if the plan has an Escalation Matrix attached — actively escalates by email/Telegram the same way those other alert types do.
Deleting a plan¶
Use the Delete button on the plan's row and confirm. This removes the plan and stops tracking it — it doesn't affect maintenance already logged against it.
Calendar view¶
Switch to Calendar on the fleet-wide Maintenance page for a month-grid view of:
- Maintenance due dates — plans on a calendar-days (or "both") interval, shown on their next-due date. Plans on a run-hours-only interval don't have a specific date to place on the grid; they're listed separately below the calendar under "Not on the calendar (run-hours based)."
- Warranty/AMC expiry — from each asset's Warranty & AMC records.
- Completed maintenance — a marker on the day each plan was last logged as performed.
Each day with activity shows small colored count badges — a legend above the grid explains the colors: blue for upcoming due dates, red for overdue, amber for warranty/AMC expiry, green for completed work. A day with 2 overdue items and 1 expiring contract, for example, shows two badges: a red "2" and an amber "1". Click any day to see its events listed out, along with the documents on file for each asset involved that day — useful for pulling up a service manual or the last inspection report while planning or reviewing that day's work.
